Overview

This document will cover how to create, charge and forgive a “White Goods Tax” fee to an item where applicable, as well as how to run a report to get the total dollar amount of this fee within a specific date range for reporting purposes.

White Goods Tax Code Creation

Before we can add this item to order, we need to first create a tax group that will include this field. Go to Admin > Administrator > Tax Codes

Select New Type in the Tax Code name, in this example, we will type White Good. Next, we will choose the Tax Type: White Goods Tax.

The White Goods Tax information box will appear to fill in the following information:

Creating Account Groups

To create Account Groups go to Accounts > Account Groups

Click on the first line “Click Here to Add New Row” Type a Group Name, then create click on the + to add your accounts that will be apart of this group.

After you’ve completed adding all the Accounts associated with this group select ‘Save”.

Your Account Group has now been created.

Creating Item Groups

To create an item group go to Inventory > Inventory Manager > Item Group Manager

In this module, you can create either a Static or Dynamic or Parameterized item group.

*Static item groups are groups of items specified manually. The user would choose individual items to add to any given static group and that inventory group will not change unless edited. This is the easiest way to create highly specific groups of items particularly if they contain items that aren’t obviously related to each other by standard item attributes or if you want to group some common items while excluding one or more closely related items. However, this is the least flexible group over time and demands more maintenance than dynamic or parameterized item groups.

Dynamic item groups are groups set up based on criteria such that if items are added or removed from inventory that fit those criteria, said items will be added or removed from the group automatically. This is helpful for larger item groups that may gain or lose items based on inventory updates.

Parameterized item groups are more of an advanced form of dynamic item groups. The difference with parameterized groups is that you define criteria but not the values that meet those criteria at the item group level. Then when using the item group elsewhere in the product, you are prompted to define the value for each criterion. For example, you may create a parameterized item group that calls for all items of MFG CODE = DLT and the Description contains FAUCETS. Now you can use this item group in pricing rules manager and you filter items with that item group. At that point, you will be prompted to choose the specific conditional values to make it a valid item group. In this example, you may choose MFG= SQD and the Description contains “Breaker” and now all SquareD items with the breaker in the description will be included in the contract. Conversely, you could select different parameters for the item group to call up an entirely different set of items. The value here is that you could leverage the same item group in many applications concurrently all pointing to a distinctly different group of items.

In our example, we will use a Dynamic Item Group, so as you add new items that match the criteria entered it will automatically be added to this group.

Select “New Group” and enter a Group Name and Description and choose the Type:

Next, we will add the group and criteria information, that will create a group of all items that are applicable for the White Goods Fee. Please revert to the Item Group -KB article for specific details and instructions on how to create Item Groups.

White Goods Tax Application

Once the White Goods Tax Code has been configured for the selected Inventory and Account Groups within the Admin settings you are now ready to view how it is applied to your order.

Place an order that includes both an account and a white goods item(s). Once completed go to the Summary Tab within an Order/Quote to view the tax breakdown: This summary will appear the same when doing a RMA customer return.

Hover over the orange Info button to see the tax breakdown.

Forgiving White Goods Tax Fees

In the scenario that you need to forgive the Whites Good Tax fee, this will be handled within the Receive Money screen under Accounts Receivable.

Select the box “Show Invoice Details Columns and the White Good Tax column will appear.

Select the Box under the Forgive column and you will be prompted with

Select Yes and both the Sales Tax and White Good Tax has been removed/forgiven from this invoice

White Goods Tax Reports

When it is time to run a report for tax purposes navigate to Reports > Reporting Engine Sales Tax Summary.

Here you will choose your date range, and run the reports for all tax groups/codes. Once the report is finished it will appear broken down like this:

As you see we had one sale and $3.00 was collected from that sale. If you had two, then the dollar amount shown will be $6.00, etc.
